Convert Invoices to Excel

Upload multiple invoice PDFs and get one spreadsheet row per invoice — number, dates, vendor, and totals. Free and private.

Invoice to Excel reads a batch of invoice PDFs and gives you one spreadsheet row per invoice: file name, invoice number, invoice date, due date, vendor, subtotal, tax, total and currency. An invoice PDF has no real fields — only text at positions — so the tool looks for the labels invoices use and reads the value next to each one. Anything it can't find is left blank rather than guessed.

What you can do

  • One row per invoice, in the order you uploaded them.
  • Columns for file name, invoice number, invoice and due dates, vendor, subtotal, tax, total and currency.
  • Every row is shown before you download, so a wrong value is easy to spot.
  • Unfound fields are left blank, never guessed.

How it works

  1. 1Drop your invoice PDFs onto the page — as many as you need.
  2. 2Check the table the tool builds, one row per invoice.
  3. 3Look over any blank cells — they mark values the tool could not find.
  4. 4Download the spreadsheet.

Why use SmilingPDF for this

  • Replaces retyping totals and dates invoice by invoice.
  • Honest about scans: with no text layer, run OCR first.
  • Invoices contain sensitive figures, and these never leave your device.

Private by design

Your file stays on your device.

  • No upload
  • No server storage
  • No account required
  • Browser-based processing
  • No watermark

This tool runs inside your browser tab. Your file is read from your device, processed there, and handed back as a download — it is never sent to a SmilingPDF server, so there is nothing for us to store, read, or lose. You can check for yourself: open your browser's developer tools, switch to the Network tab and run the tool. Like most sites, SmilingPDF uses Google Analytics to count visits and which tools are used; that never includes the contents of your files. The privacy policy lists everything the site does collect.

Frequently asked questions

Got questions? We've got answers.

How does it read the invoice details?

An invoice PDF has no 'fields' — just text at coordinates. This tool looks for the labels real invoices use ("Invoice Number", "Due Date", "Total Due", "From:", and similar) and reads the value next to each one. It's pattern matching, not understanding, which is why every row is shown before you download — a wrong number in a spreadsheet doesn't look wrong.

What if a field couldn't be found?

It's left blank in that row rather than guessed. Very unusual invoice layouts, or a scanned invoice with no text layer, will produce more blanks — run a scan through the OCR tool first to give it a text layer.

What columns does the spreadsheet have?

File name, invoice number, invoice date, due date, vendor, subtotal, tax, total, and currency — one row per invoice, in the order you uploaded them.

How many invoices can I upload at once?

As many as your device's memory allows — there's no fixed limit.

Is my data uploaded anywhere?

No. Every invoice is read entirely in your browser and never leaves your device.
