How to convert a PDF table to Excel (or CSV)

How to pull a table out of a PDF into an Excel .xlsx or CSV file, how to check the detected grid before you download, and when tables come out wrong.

4 min read

A PDF doesn't store a table as rows and columns. It stores text at coordinates, so a converter has to work out the grid by looking at where the text sits. That is why it pays to check the result before you rely on the numbers.

Quickest answer: convert a PDF table to Excel

  1. Open PDF to Excel and drop your PDF on the page.
  2. Review the grid detected for each page.
  3. Look closely at any cells marked as uncertain.
  4. Download the .xlsx, or the CSV for the page you are viewing.

Why you get to review it first

Showing the detected grid lets you spot a column that was split in the wrong place before it becomes a spreadsheet. Cells the tool was unsure about are flagged, not guessed silently. The Excel file has one sheet for each page that produced a table.

When tables come out wrong

  • Scanned PDFs have no text to read. Run OCR first.
  • Merged or wrapped cells can confuse column detection. Fix those in Excel.
  • Tables without lines rely on spacing alone, so ragged alignment can shift a value into the wrong column.
Tip: The tool is built for plain, rectangular tables. For invoices, try Invoice to Excel.

How do I convert a PDF to Excel for free?

Drop the PDF into SmilingPDF's PDF to Excel tool, check the detected tables, then download the .xlsx or a CSV. No account or watermark.

Can it convert a scanned PDF?

Not directly, because a scan has no text. Run OCR first to make it searchable, then convert.

Why are my columns split in the wrong place?

PDFs only store text positions, so the grid is inferred. Merged cells, wrapped text and tables without lines are the usual causes. Review the detected grid and adjust in Excel.

Can I get CSV instead of Excel?

Yes. You can export the page you are viewing as CSV, with commas, quotes and line breaks quoted correctly.

Is my PDF uploaded?

No. The PDF is read in your browser and never uploaded.
